Upwork proposal template for virtual assistants
VA jobs get the highest bid counts on Upwork, and nearly every proposal claims to be detail-oriented and hard-working. Since those claims are unverifiable, they cancel out. What survives the comparison is anything measurable — response times, error rates, systems you've actually built.

Job post: Shopify store VA — orders, customer email, weekly reporting
Why it works
- It identifies an operational failure the client has likely experienced but didn't put in the job post.
- Four verifiable numbers do the work that "detail-oriented and reliable" cannot.
- Shadowing before changing anything reassures a client who is nervous about handing over their store.
Example 2
Job post: inbox and calendar management for a busy founder
Why it works
- Naming the decision framework up front addresses the founder's real anxiety about delegation.
- The calendar detail shows the applicant has done this job, not just described it.
- A one-week trial is an easy yes for a client who has been burned before.
What gets these proposals ignored
- Claiming to be detail-oriented, reliable, and a fast learner. Every competing proposal says this, so it contributes nothing.
- Listing tools without context. "Proficient in Excel, Notion, Slack" is table stakes; what did you build with them?
- Ignoring the specific workflow in the post. Generic VA proposals are the easiest to skip because they clearly went to fifty jobs.
Common questions
How do I stand out when a VA job already has 60 proposals?
Include one number the others can't. Response time, on-time rate, accounts managed, error rate — anything measurable moves you out of the pile of unverifiable adjectives, and it takes one sentence.
How long should an Upwork proposal be?
130 to 180 words for most jobs. Clients skim the first two lines and decide from there, so length past that point rarely helps — but going much shorter usually means you skipped the specifics that make you credible.
Should I start with "Hi" or the client's name?
Skip the greeting. Upwork already shows your name and photo, and the first line is the only part guaranteed to be read in the preview — spending it on "Hi there, I hope you're well" wastes your single best asset.
